Autobid Manager

The Autobid Manager is responsible for the control of accurate and timely ordering of vehicles for our varied client base via our Autobid platform, starting with inviting drivers to place and order, through to checking the accuracy of the Quote at point of order, progressing the order through to delivery status and arranging the handover of the previous vehicle. Keeping the Client updated throughout the process. This will include manufacturer, dealer and supplier engagement, including funder management responsibilities.

Requirements

In this role you will oversee the efficient operational day to day performance of the Autobid team. Develop and lead technically strong, highly engaged, and energised colleagues, facilitate vehicle fleet advice, consistently delivering class leading analysis & reports in a professional & innovative way.

You will also be responsible for managing the funders order bank, owning weekly meetings regarding order status and progression, investigating and resolving any issues with orders ensuring that clients are kept up to date.

You must be prepared to take ownership of processes, actions, and queries, investigating, resolving and escalating if required.

You will be responsible for the provision of informed support and advice on all aspects of vehicle purchasing and delveries, including supplier management, product, manufacturer, customer specific override and database pricing constituents.

The Autobid Manager will need to build strong relationships with other departments within Kinto, as well as within the customer base, vehicle manufacturers, vehicle dealers and Autobid funding panel, with a focus on delivering to our service level agreements.

The ability to consistently demonstrate a passion for our products and services, belief in our business, culture & core values to drive the business forward through margin accretion, risk management/mitigation, cost controls and operational efficiencies.

Key Responsibilities

  • To ensure resources and staff abilities are commensurate with the day to day maintenance of the Autobid dynamics queue and order placement issues
  • To respond to day to day enquiries and to ensure that tasks are prioritised and/or distributed to achieve agreed SLA’s.
  • The handling of queries and appropriate escalation
  • Oversee the Autobid process, maintaining accurate progression and status updates. Ensure that all communication with drivers is accurate, researched, appropriate & polite
  • To complete all aspects of ordering including invite to order, order progression, delivery/collection and invoicing
  • Compile accurate statistics and information on funders and their preferred suppliers to maintain high level of service and feedback to the Autobid SME any concerns
  • To build upon and maintain client relationships. Internal/ External/ Dealerships, Manufacturers, clients and colleagues.
  • Management of appropriate reports of the Key Performance Indicators
  • Management of documentation and files, maintained to satisfy audit
  • To proactively identify and resolve operational issues and develop / maintain process flows and work instructions for activities to improve efficiency, enhance service, minimise errors and reduce costs.
  • Ensure all written communication, including email, is accurate, correctly formatted, free from spelling and grammatical errors, professional and appropriate
  • Take full ownership to ensure the business complaints procedure is followed
  • Support the Senior Manager – Commercial with organising and planning activity through the utilisation of the daily management boards.
  • Undertake any additional agreed responsibilities as required.
  • To implement and manage any upgrades to existing or new systems and any extranet rollout to deadline while ensuring systems support the needs of the team, the client and the wider business.
  • To train and coach colleagues to ensure consistent application of best practice. Ensuring that team members have the appropriate training, knowledge & tools to be able to efficiently perform their duties within deadlines and with errors being kept to a minimum.
  • Communicate regularly within the team, wider business, manufacturers and data suppliers, through formal and informal channels to ensure the free flow of ideas and key messages.
