Sales Coordinator

We prefer a candidate in the Pacific Northwest, but we'd consider other locations in the US for the right candidate. Our employees work from anywhere, but everyone on our team is currently an Oregon or Washington resident.

Who We Are

Cast Iron Coding is a web development firm in Portland, Oregon. We create web applications (and sites) for clients that spread knowledge and contribute to the common good. Most of our work is with universities, state governments, arts institutions, foundations, and non-profits. Sometimes, when a project helps us sharpen our skills, we work with for-profit, values-aligned companies.

We work with groups that tackle meaningful problems and work hard to elevate the design and build quality of these projects. We take great pride in that work!

Founded in 2005, we currently have a team of 14, including developers, designers, account managers, and project managers. What We're Looking For

As a small firm, the agency partners primarily handle the sales process. One of our goals in 2025 is to add structure and process to our sales and marketing and to free up the partners so they can spend more time selling and less time on day-to-day sales tasks. To that end, we're seeking a Sales Coordinator who can provide tactical sales support to the partners and assist with growing our inbound pipeline.

The ideal candidate for this position is detail-oriented and proactive. This person will assist with maintaining our CRM, tracking and reporting on sales metrics, preparing and submitting proposals, creating contracts, facilitating our referral pipeline, and prospecting. The ideal candidate will be comfortable working with standard sales tools and experience communicating with clients.

Requirements

Please read the following requirements carefully. We're willing to provide training to fill gaps for the right person, but we do need to see some demonstrable experience to consider an application.

Responsibilities

  • Assist with prospecting and outbound sales by building lists of prospects, seeking out RFPs, identifying potential partner agencies, monitoring relevant conferences, and monitoring relevant grant awards
  • Maintain the CRM (Hubspot) and ensure that data in the CRM is accurate and non-duplicative
  • Work with the frontend team to improve CRM / Website integration
  • Take the lead on tracking and reporting on inbound and outbound sales metrics
  • Streamline sales document creation processes
  • Develop visually engaging proposal documents that maintain brand consistency and high-quality presentation in alignment with company standards
  • Update, organize, and maintain sales content
  • Partner with our marketing consultant and our Creative Director on ongoing marketing initiatives
  • Qualify inbound leads
  • Facilitate periodic meetings between partners and net promoters
  • Manage retainer account renewals
  • Plan and coordinate all aspects of conferences and industry events we occasionally attend

What will Success Look Like?

  • We'll expect to see more contacts between agency partners and prospective and current clients
  • Your efforts will lead to more efficient proposal and contract creation
  • With time, increased revenue as we build a sustainable, predictable sales pipeline

Required Skills and Experience

  • Bachelor’s degree in Marketing, Business Administration, English, Philosophy, Computer Science, Engineering, or a related field is preferred but not required
  • Because we mainly sell to higher education clients, you must have excellent writing skills with an eye for detail
  • Proficient in using CRMs and related tools to manage client interactions
  • Skilled at collaborating effectively within a team setting
  • Copywriting skills with the ability to create engaging proposals tailored to different audiences
  • Interest in developing tactics that drive growth, implementing those tactics, and measuring the results

Desired Skills and Experience

  • Basic understanding of web analytics and tracking tools
  • Experience working in a fast-paced agency environment
  • Experience working on or with a sales or marketing team
  • Non-profit background, particularly in higher education, the arts, or foundations

Benefits

  • Pay: $60,000.00 to $70,000.00 per year
  • The Cast Iron leadership team will work to understand your personal and professional goals, and will help you reach them.
  • We have a lovely office in Portland that you can work from, or you can work from home, or some combination of the two. Work wherever you feel you do your best work.
  • Some people at Cast Iron work a 4 day work week with Fridays off. Employees can choose between a more intense four day week or a somewhat less intense five day week.
